Job Description

Role and Responsibilities

This is a part-time, non-supervisory position to, and at the direction of, the Chief of Department.

The individual in this position will function as a confidential assistant to the Chief of Department and Board of Fire Commissioners.

The individual assigned to this position is expected to:

Conduct themselves as a professional

Be attentive to detail and demonstrate a high degree of accuracy

Handle workflow consistently and efficiently and keep work organized and easily accessible

Meet pre-determined deadlines

Think independently and problem solve

Work with employees at all levels

Shall be discrete and confidential in handling job responsibilities

This position performs complex and paraprofessional-level payroll duties in addition to assisting with Confidential Human Resource issues.

Attend Commissioners Meetings (Monthly and as needed)     




This is a brief description of the kind of responsibilities you may be assigned.

  • Assist with Payroll

  • Assist with Accountability tags

  • Assist with ISO documentation

  • Assist with Bills for District Treasurer

  • Assist with Entering all employee information into ESO

  • Assist with New volunteer/employee processing

  • Assist with Keeping iamresponding up to date

  • Assist with Scanning and filing documents electronically

  • Assist with Entering maintenance and testing into ESO

  • Assist with Preparing documents and reports as needed

  • Assist with Pay call

  • Assist with Monthly fire and drill attendance

  • Assist with Processing mail

  • Assist with Equipment/PPE tracking

  • Assist with Vacation and personal time tracking

  • Assist with Scheduling inspections

  • Assist with Ordering supplies

  • Assist with Weekend duty shift scheduling

  • Assist with Admin for door access system

  • Assist with Scheduling Building / Fire Code Compliance Inspections

  •  Other tasks may be include as assigned by Chief of Department.

  • The Chief of Department or his designee will determine and assign the schedule of work hours for this position.




Qualifications and Education Requirements

High School Diploma or General Education Degree (GED) equivalent

Two (2) years’ experience in a responsible, independent administrative support position or A two-year degree in an accounting or business-related field or any combination of education and work experience

Shall have good phone etiquette and willing to take on New Assignments.

Good Computer Skills with knowledge of the following programs.

Quick Books or Similar Accounting Software

Microsoft Word, Excel, Power Point, and Publisher or similar Software

ESO Suite (Training will be provided)
